Workplace Proposal, Gadens Melbourne

Making the office the easier choice

A three day a week in-house barista service on Level 12, proposed as a Melbourne concept test for Gadens nationally.

The Opportunity

Policy asks people to come in. Coffee makes them want to.

Gadens has set a three day a week expectation across the country, and like most firms has stopped short of policing it. That leaves a gap between what the policy says and what a Tuesday actually looks like. The question is not how to enforce attendance. It is how to make the office somewhere people would rather be.

Level 12 already has the hard part solved. The Collins Arch fitout gave you a genuine social heart, with the servery, the communal tables and the stair connecting eleven through thirteen. What it does not yet have is a reason to gather at a predictable time. A barista, on the same three days every week, becomes that reason.

We are proposing Melbourne first, deliberately. Prove it on one floor, measure it properly, and let Sydney and Brisbane follow the evidence rather than the enthusiasm.

Needs Analysis

What we heard

Current State
Our Solution
01
A cart one day a week was the opening idea, with the day rotating from week to week.
A coffee cart servicing staff only one day a week was the opening idea with the day rotating week to week.
02
A three day in-office expectation exists nationally, but it is not enforced and attendance sits under it.
Coffee placed on exactly the days the policy targets, so the incentive and the expectation point the same way.
03
The staffed kitchenette pours for clients only. Your own people are not covered by it.
One bar serving both. Existing spend converts instead of adding, and staff and clients get the same standard.
04
No visibility of what coffee currently costs, who uses it, or whether it changes anything.
A live dashboard covering cups, spend, attendance correlation and sustainability, reviewed with you monthly.
05
Melbourne is the first move, but Sydney and Brisbane need the same answer.
Melbourne runs as a concept test with agreed measures, so the national call rests on evidence rather than opinion.
The Choice

Two ways to do this

The opening idea was a cart, one day a week. It is a sound instinct and it deserves to sit next to the alternative honestly, because the two are not the same product at different prices. They do different jobs.

Option A

The cart, one day a week

A barista and a mobile cart arrive, serve, and pack down. Low commitment, quick to start, and genuinely good for a launch, an event or a one off moment.

What it can and cannot do
  • Moves one day in five
  • A rotating day never becomes a habit
  • Runs alongside the existing client coffee service, so both are paid for
  • Set up and pack down is part of the weekly cost
  • Serves staff only. Reception and clients are unchanged
  • No installed equipment, no dashboard, no in-depth reporting
Recommended
Option B

Three days, permanently

A built in bar on Level 12, staffed Tuesday, Wednesday and Thursday from 8:30 to 3:30. The same barista, the same place, the same days, every week.

What changes
  • Covers the three days the attendance policy actually targets
  • Fixed and predictable, so people plan their week around it
  • Absorbs the existing client coffee service, converting spend rather than adding it
  • Equipment installed once and amortised across every service day
  • Serves staff and clients to the same standard
  • Live dashboard, monthly reporting, measurable against attendance

A cart can only ever influence the day it is there. If that day moves week to week, as the original idea had it, there is nothing for anyone to plan around and the habit never forms. The three day pattern exists precisely because that is the pattern the policy asks for.

A Monday problem turned into a culture catalyst

Monday attendance was hovering around 80 people in an office built for 300+. Leadership knew the answer wasn't policy, it was experience. The launch of Coffee on Cue in November 2024 became one of the most talked-about initiatives in recent company history.
